Workday Information You Need for Go Live and Beyond (2024)

The time is finally here! Workday Platform will be live for Miami on Monday. As we prepare for this next chapter of the University, we thought it would be helpful to publish again what you will need to know on day 1, and over the course of the first few weeks.

Important Items for Week 1 of Workday

There are a few very important items regarding Workday that we want to make you aware of before Workday moves into production on Monday.

  1. Salaried employees will have no absence information in their Workday Employee Profile for the first few weeks of July. This is due to needing to reconcile approved leave information from June in Banner, before loading to Workday.
  2. Hourly employees will have no absence information in their Workday Employee Profile for the first week of July.This is due to closing out the final pay cycle in TCP on July 5th and loading balances into Workday after all timekeeping approvals are completed.
  3. Both Salaried and Hourly employees will need to wait until after your absence information is present in Workday before requesting absences in Workday. This is because Workday will not allow an employee to request time off without a balance of available hours. You’ll still work with your supervisor for any July time off until you can submit the requests in Workday.
  4. Hourly and student employees MUST use TCP to clock their time through July 5.We finish out the pay cycle in TCP before using Workday. You can start checking in/out using Workday beginning on Saturday, July 6.
  5. Emergency Contact Information was not transferred from Banner to Workday. Each employee will need to add their Emergency contact information to Workday. Within your Workday Profile choose the Contact option and then use the Emergency Contacts tab.

Go Live Checklist

We have created a Go Live Checklist for all employees. This list of helpful hints and suggestions will guide employees through those first couple of days when using the new Workday Platform tools.

The checklist includes information that you should review for accuracy, like your profile information, direct deposit information, and professional information. It also includes tasks you should be performing in Workday, like time entry for hourly staff (after 7/5), creating time off requests (after balances are available), updating your W-4 tax elections (if needed). The Checklist also includes references to the helpful Miami job aids and contact information.

Workday Support Now and Future

Now that Workday is just a few days away from going live at Miami, it is important for you to be aware of how you can get assistance if you need it.

The best option for getting help with Workday is to enter a ticket using our support ticketing system TeamDynamix (TDX). Simply go to MiamiOH.edu/WorkdaySupport and complete the form. Your issue will be triaged and addressed as quickly as possible.

Something you can do today: Please visit myMiami and look for the Workday Task Center which includes links to all of the valuable Workday resources we have at our disposal, including the program website at MiamiOH.edu/workdayinfo. Alternatively, you can search the phrase Workday in myMiami and add the links as favorites now so you’ll have them handy on Monday.

Training Updates

Here is the latest information about training for Workday.

Workday Financial Reporting Training Coming Soon

As promised, the training sessions for Financial Reporting in Workday are currently being scheduled. Sessions will begin sometime during the second week of July and continue throughout the month. Additional information, including registration instructions, will be coming soon.

Instructor-led Training before Go Live

The Workday Training Team is offering additional remote and in-person Phase IIA, and Phase IIB training sessions today. These sessions are offered according to the following schedule. Just click the applicable link to register.

Course Videos and Job Aids

The Workday System Preview in Canvas provides recordings of each of the Workday classes that you can view. Along with the training recordings, you will find links to job aid packets, and for some of the classes, a copy of the presentation slides. The Canvas site also contains generic Workday job aids for a variety of topics.

You can also view the recorded training sessions and access the job aids directly from Workday. To access this session in Workday after go live, enter “LRN: Workday” in the search box at the top of your Workday page, then click on the class title you would like to view. This same set of resources are currently in our WorkdayTest system.

Refresher, Training, and Drop-In

Drop-in and Refresher training sessions will be announced and available frequently in the coming months as we get used to the system. Stay tuned for future announcements on timing, location, and registration.
